Let QuickBooks' AI Sort Your Invoices and Expenses

What This Does
Every transaction that hits your business bank account or credit card, hosting bills, plugin licenses, a client payment, gets sorted into a category so your books stay accurate for tax time. QuickBooks Online reads your past categorization patterns and suggests a category or a match for each new transaction before you review it, so you're approving suggestions instead of sorting from scratch.
Before You Start
- You have a paid QuickBooks Online subscription with bank feeds enabled (not the free trial)
- Your business bank account and credit card are connected and actively syncing
- You've categorized at least a handful of recent transactions by hand, since the AI learns from your own history
Steps
1. Open the Banking tab
Log in to QuickBooks Online and go to the Banking (sometimes labeled Transactions) tab. This is where every synced transaction lands before it's filed into your books.
2. Look for the AI suggestion icon
Pending transactions that have a suggested category or match show a small "Suggested by AI" icon next to them. Click it to see what QuickBooks proposes: a category, a match to an existing invoice, or a customer/vendor name.
3. Review, accept, or correct
Read the suggestion against what you actually know about the transaction. If it's right, accept it. If it's wrong, pick the correct category yourself. Either way, QuickBooks uses your choice to sharpen its next suggestion for a similar transaction.
Real Example
Scenario: Your business card shows a $180 charge from a hosting provider, a $49 charge from a plugin license marketplace, and a client's $2,400 milestone payment landing the same week.
What you do: Open Banking, click the AI icon on each pending line. QuickBooks suggests "Web Hosting" for the first, "Software Subscriptions" for the second, and matches the third to the open invoice you already sent that client.
What you get: Three transactions filed correctly in under two minutes, instead of the usual Friday-afternoon slog through a week's worth of unsorted charges.
Tips
- Spend two minutes cleaning up your five or ten most recent transactions before relying on suggestions. Consistent past categorization is what the AI learns from.
- If a suggestion keeps missing the same way (a recurring charge landing in the wrong category), fix it once and watch whether it corrects itself next cycle. If it doesn't, set up a bank rule instead of correcting it by hand every month.
- You can turn suggestions off entirely from Banking > Settings if you'd rather categorize everything manually. There's no penalty for leaving it on and simply overriding a bad suggestion when it happens.
A Caution on Client Data
Never put a client's project details, contract terms, or personal information into a QuickBooks memo or description field expecting it to stay private. Bank and invoice records can surface in reports you export or share with a bookkeeper or accountant. Keep memos limited to what the transaction actually is (hosting, software, milestone payment) and keep anything sensitive about the client relationship in your own project notes instead.
Tool interfaces change. If a button has moved, look for similar AI or "suggested" labels near your bank feed or transaction list.
